Proposed Constitution March 2013
To all members,
The attached link will take you to the revised GMHA constitution that we are proposing to the membership at the 2013 GMHA Annual General Meeting (AGM) to be held on April 24th at The ROC. A copy of the proposed constitution is also available in the document library accessible from our home page, or can be reviewed in a hardcopy available in the GMHA office.

For those of you that attended the AGM in 2012, the revised constitution for that year was voted down by the membership. The primary reasons were that many of the attendees had not reviewed the proposed constitution ahead of time, and those that had were concerned that the reduced number of voting executive members was too small.

To resolve the first issue, we are hoping that the improved communication with all members facilitated by the new website will get the word out there and that you will at least have a chance to familiarize yourself with the constitution ahead of time. The AGM meetings can be onerous if everything is “new”, so we’re hoping to provide a lot of information ahead of time this year. If we can streamline the meetings and shorten them, we’re optimistic that this will increase attendance. Of course, this will only work if you take a little time before you come out and at least scan the material in preparation. We’re hoping that as members of our Association, you’ll be able to find the time to do that and follow up by joining us on April 24th.

In order to address the second issue, we have elevated the non-voting Tournament Director position to a voting member of the Board. We didn’t want to go further than that, as one of the major objectives in revising the constitution in the first place was to make the board much more efficient in handling the day-to-day decisions that keep the GMHA running. Getting a quorum for such a large number of voting position, and filling them in the first place, continues to be a challenge. There is still plenty of room for volunteer positions, and we hope to get much more aggressive next year on engaging more of our membership.

Finally, the other reason for putting through a revised constitution is simply to bring a lot of dated material up to speed as well as cleaning up grammatical and spelling errors that have crept in over the years. The existing constitution is way overdue for an update.

No matter what we do, we know that this constitution will not be perfect. We’d also like to make sure that the constitution is reviewed by the Board each year, and that appropriate revisions are made annually so that we keep it up-to-date incrementally rather than having to “overhaul” it all at once like this.

Thank you all for your time and support over the year, and we’ll see you at the AGM!!
